Open Settings > Records & Data > Exports to generate one CSV from the organization's live data for each supported record type.
Available Exports
- Pets: profile details plus medical history, vaccinations, procedures, prescriptions, notes, relationships, images, and custom fields
- Adopters: contact details, status, status change notes, tags, record ID, created and updated dates, notes, and custom fields
- Fosters: the same core details, plus capacity and foster notes
- Volunteers: the same core details, plus skills, interests, preferred roles, languages, certifications, and volunteer notes
People exports always include the standard columns, even when those fields are absent from the application form. Every status is included, so you can filter the downloaded file to the contacts you want to reach.
The page shows the current record count beside each export and a combined total in Export Notes.
Download a File
Choose the export action beside the record type. PawPlacer builds the CSV and downloads it through the browser. Files use the record type and generation date, for example:

CSV files can be opened in Excel, Google Sheets, Numbers, or another spreadsheet tool. Large exports may take longer to generate.
Custom and Linked Fields
Saved custom-field answers become columns, including long-text answers. Duplicate display labels are disambiguated, including custom fields that share a name with a standard column. Fields synchronized to a standard column are included once. Uploaded media and signature images are not embedded in people CSV files.
Tags and supported linked records use readable names where possible, and choice fields use their configured labels. Email addresses, URLs, and free text retain their spelling and punctuation. Dates and numbers follow the organization's locale settings; yes/no answers are translated. Quotes and commas are escaped for CSV, and line breaks in text become spaces.
For a contact import into a service such as Constant Contact, use the Email, Phone, Name, and Status columns to choose and map your contacts. The export itself does not send any messages.
The pet file is intentionally comprehensive; medical histories are represented in export-friendly columns and combined text. Use Reports when you need narrower medical analysis.
