Managing Pet Profiles
Pet profiles are the central workspace for each animal in your care. They combine public-facing details, internal care information, documents, notes, tasks, food schedules, medical timelines, relationships, and matching tools in one place.
Accessing Pet Profiles
- Navigate to Pets from the main navigation
- Use search, filters, or saved table settings to find the pet
- Click a row to preview the pet, then open the full profile
Profile Header
The top of the profile shows the pet's primary photo, species, current status, adoption fee, custom ID, name, description, intake date, and tags. If the pet has bonded companions, the bond appears directly under the description.
Pet managers can use the header actions to:
- Toggle public visibility with the eye button
- Open the QR code for the public pet profile
- Edit the pet
- Open the actions menu for print, kennel card, archive, unarchive, custom-template conversion, or delete actions
- Change the pet's status by clicking the status badge
Out-of-care pets show a read-only banner. Their records remain visible, but most profile edits, new tasks, and new medical records are locked until the pet is moved back into an in-care status.
Profile Tabs
Pet profiles use a compact tab layout:
| Tab | What it contains |
|---|---|
| Overview | Pet details, custom form fields, today's care, temperament, compatibility, bio, intake details, photo gallery, and the pet task list |
| Medical | Tile-based medical history and upcoming care across exams, vaccines, procedures, diagnostics, prescriptions, conditions, weight, preventatives, and treatments |
| Food | Food and supplement schedules for the pet |
| Relationships | Bonded pets and other linked pet relationships |
| Matches | AI-ranked adopters and fosters, when AI matching is enabled and the pet is eligible |
The Medical and Food tabs can show count badges when there is upcoming medical work or active food schedule data.
Overview Tab
The Overview tab adapts to the pet's form template. If your organization uses custom pet profile fields, visible fields appear in their configured sections. If no custom template is used, PawPlacer shows the standard profile fields, including species, sex, age, breed, spay/neuter status, color, coat length, size, weight, health, microchip ID, and custom ID.
The Overview tab also includes:
- Today's care when the pet has active food schedules, active prescriptions, or tasks due today
- Temperaments and special needs as badges
- Lives well with compatibility cards for good-with and not-good-with values
- Bio unless the description is already shown through a custom form field section
- Intake details for intake date, days in care, visibility, and adoption fee
- Photos when the pet has more than one image
- Tasks for pet-specific care work
Right Rail
The right side of the profile keeps operational details close at hand:
- Status: current status, status notes, and days in care or total days
- Documents: files attached to the pet profile
- Team Notes: internal notes and comments
- Profile Highlights: active prescription, food schedule, and task counts
- Tags: temperament, compatibility, and special-needs highlights
- Activity Timeline: recent status changes, upcoming tasks, and active prescription end dates
Documents and team notes are internal and are not shown on public pet profiles.
Medical Records
The Medical tab is available to users with the Medical Manager role. It includes an All timeline plus separate tabs for Exams, Vaccines, Procedures, Diagnostics, Rx, Conditions, Weight, Preventatives, and Treatments.
Medical tiles show dates, status badges, due or overdue indicators, assignees, document counts, medication summaries, and edit or preview actions where supported. Exams, vaccines, and procedures can be marked complete from their tiles.
For details, see Pet Medical Records.
Status and Visibility
A pet must have a public, in-care status and individual public visibility enabled before it can appear publicly. Pets also need at least one photo or video before they are eligible for public listings.
Statuses are configured in Settings > Pet Configuration. Each status controls care state, public eligibility, display order, and whether moving into that status should end an active foster assignment.
Pet Age Display
Pet ages can be shown as exact birthdays, years and months, months, or age categories, depending on your organization's pet age display setting. PawPlacer recalculates age automatically from the saved age data.
