Managing Drivers
Drivers are the volunteers or staff members who transport pets between locations. Each driver profile contains their contact information, service areas, license details, capacity settings, and a running history of their transport activity.
Adding a New Driver
To add a driver to your roster:
- Navigate to Drivers, or open Transports and click the people icon in the page header
- Click Add Driver
- Complete the driver form
- Click Add Driver to create the profile
Only the driver's name is required. All other fields are optional and can be filled in later.
Driver Form Sections
The driver form is grouped into sections that match the profile layout:
Contact Information
- Name (required): The driver's full name
- Email: Contact email address
- Phone: Contact phone number
- License Number: Driver's license identifier
- Is Active: Whether the driver is currently available for assignments
Service Areas
- Home Base Location: Where the driver is based
- Rescue Service Area: The area the driver covers for rescue operations
- Appointment Service Area: The area the driver covers for veterinary or other appointments
- Preferred Transport Method: Ground, air, or no preference
Availability
- Max Drive Distance: The maximum distance the driver is willing to travel
- Weekly Hours Capacity: How many hours per week the driver can commit
- Hours Driven This Week: A manually tracked field for current week usage
- Availability Notes: Additional notes about schedule, vehicle, location, or assignment preferences
The Drivers Table
The drivers table shows key information at a glance:
- Name: The driver's full name, along with their email and phone number displayed below
- Service Areas: Home base location, plus rescue and appointment service areas
- Status: Active (green) or Inactive (gray) badge
- Total Trips: Number of assigned transports, broken down by air and ground, with total miles
- Transport Capacity: Hours driven this week versus their weekly hours capacity
- Updated: When the driver record was last modified
You can search the table by driver details and sort supported columns such as driver, status, total trips, and updated date.
The Driver Profile Page
Clicking on a driver in the table opens their full profile page. The profile starts with a summary header showing the driver's status, contact shortcuts, time on file, transport count, total miles, and weekly capacity.
Below the header, the profile includes:
- Contact: Email, phone, and license number
- Home Base Location: Home base, rescue service area, and appointment service area
- Availability: Availability notes when provided
- Activity Timeline: Recent assigned transports and profile creation
- Recent Transports: A quick set of recent transport cards
- Statistics: Preferred transport method, total trips, air trips, ground trips, and max drive distance
- Transports: The driver's assigned transport list with add and edit actions
Editing Driver Details
To update a driver's information:
- Click on any driver in the table to open their profile
- Click the edit button in the profile actions
- Update the pre-filled driver form
- Click Update Driver
Driver Statistics
Each driver's profile automatically tracks performance metrics based on transports assigned to them:
- Total Trips: The total number of transports they've been assigned to
- Total Ground Trips: Count of transports using the Car method
- Total Air Trips: Count of transports using the Air method
- Total Miles: The cumulative distance across all their transports
These statistics update automatically whenever transports are created, edited, or deleted and cannot be edited manually.
Deactivating Drivers
If a driver is no longer available:
- Open their profile
- Click the active status badge in the header
- Confirm deactivation
Inactive drivers remain in your system for historical records but won't appear in the driver selection dropdown when creating new transports.
You can also change the Is Active switch from the driver edit form.
Deleting Drivers
To permanently remove a driver:
- Open their profile
- Open the profile actions menu
- Click Delete
- Confirm the deletion
Deleting a driver removes them from the active roster. Existing transport records are preserved, but the deleted driver is no longer shown as the assigned driver on those records.
Adding Transports from a Driver Profile
The driver's Transports section includes an Add Transport button. When you create a transport from this section, the driver is pre-selected. Existing transports in the list can be opened or edited directly from the same section.
Searching Drivers
Use the search bar above the driver table to quickly find specific drivers. The search checks against the driver's name, email, phone number, and license number. Press Enter or click the search button to apply the search.
