    Understanding PawPlacer's volunteer management system and its core features

    Volunteer Management Overview

    PawPlacer helps your organization manage volunteer applications, profiles, schedules, documents, tags, status history, and role conversions.

    Key Features

    • Volunteer profiles: Track contact information, status, tags, custom form answers, profile highlights, documents, notes, email history, and schedule details.
    • Applications: Accept public volunteer applications and review pending applicants from the volunteer profile.
    • Scheduling: Manage recurring weekly availability and one-time shifts, then view coverage on the volunteer schedule calendar.
    • Tags: Categorize volunteers by program, skill, location, availability, or any internal grouping.
    • Documents: Store waivers, identification, references, and other volunteer files.
    • Role conversion: Convert volunteers into linked adopter or foster profiles while optionally keeping the volunteer role.
    • Email notifications: Send application or confirmation emails when templates are enabled.
    • Import and export: Bring volunteers in through the data uploader and export volunteer data from Settings.

    Volunteer List

    Open Volunteers from the main navigation. The list includes search, sorting, pagination, status filtering, tag filtering, and an Add Volunteer action.

    Rows can show name, tags, status, linked adopter or foster roles, schedule summary, custom fields, and updated date.

    Volunteer Profile

    The volunteer profile uses the compact profile layout. The hero shows avatar, contact shortcuts, status badge, tags, and metrics:

    • Volunteer Since
    • Upcoming Shifts
    • Preferred Roles
    • Documents

    The left rail includes Contact, Home, Note, Status Notes, Activity Timeline, Documents, and Team Notes. The main area includes Upcoming Shifts, Profile Highlights, Custom Details, and Email History. The Availability section below the profile lets staff update recurring schedules and one-time shifts.

    Permissions

    Volunteer management requires the Volunteer Coordinator role. Organization owners and admins can assign this in Settings > Members.
