Adding and Managing Volunteers
Open Volunteers
Open Volunteers from the main navigation. The table includes search, status filtering, tag filtering, sorting, pagination, and an Add Volunteer action.
Add a Volunteer
- Open Volunteers.
- Click Add Volunteer.
- Complete the volunteer form.
- Save the form.
The fields depend on your active volunteer form template. Common fields include contact details, address, availability, preferred roles, skills, interests, languages, certifications, experience, and notes.
Public applicants start as Pending. Staff-created volunteers are typically available for normal profile management immediately after creation.
Volunteer List Columns
The table can show:
- Volunteer: Name, avatar, and compact tag badges.
- Tags: Full tag display.
- Status: Active, Pending, Training, Inactive, Denied, Suspended, or Blocked.
- Linked Roles: Connected adopter or foster profiles.
- Schedule: Recurring schedule summary.
- Custom Fields: Synced fields from your volunteer form.
- Updated: Last modified date.
Use the search box to find volunteers by name, the status filter to review pending or archived records, and the tag filter to focus by program, skills, or location.
Volunteer Profile Layout
Click a volunteer's name to open the compact profile.
The hero shows:
- Avatar or initials.
- Name, status badge, contact shortcuts, and tags.
- Volunteer since date.
- Upcoming shift count.
- Preferred role count.
- Document count.
The left rail includes Contact, Home, Note, Status Notes, Activity Timeline, Documents, and Team Notes.
The main area includes:
- Upcoming Shifts: The next scheduled one-time shifts.
- Profile Highlights: Preferred roles, languages, and certifications.
- Custom Details: Custom form answers.
- Email History: Messages sent to the volunteer.
The Availability section below the profile lets staff edit recurring schedules and one-time shifts.
Profile Actions
Available actions depend on status and permissions:
- Edit: Opens the volunteer edit form.
- Send Email: Opens an email dialog when an application or confirmation email can be sent.
- Archive: Changes the volunteer to Inactive.
- Unarchive: Restores an archived volunteer.
- Convert to Adopter: Creates a linked adopter profile.
- Convert to Foster: Creates a linked foster profile.
- Delete: Permanently removes the volunteer record.
Click the status badge or status row to open the status-change dialog when status changes are available.
Tags
Tags appear on the volunteer profile and list. Use tags to track programs, skills, onboarding groups, event teams, transport availability, court-ordered service, or other categories.
Delete or Archive
Use Archive when you want to preserve the volunteer record but remove it from active work. Use Delete only when the record should be permanently removed.
