Using the Volunteer Schedule Calendar
The volunteer schedule calendar shows recurring schedule blocks and one-time shifts in one place.
Open the Calendar
Open Volunteers > Schedule. The calendar loads with scheduled volunteers and a header for navigation and filtering.
Calendar Header
The header includes:
- Previous and next period buttons.
- Date range title.
- Today button.
- View selector.
- Volunteer filter.
- Search by name or email.
- Filter count when the visible volunteers are filtered.
Calendar Views
Use the view selector to switch between:
- Day: List-style view for one day.
- 5 Days: Multi-day grid for short-term coverage.
- Week: Weekly grid.
- Month: Month overview.
The date range changes based on the selected view.
Filtering
On desktop, use the volunteer dropdown and search input in the header.
On mobile, tap Filters to open the filter sheet. The sheet includes view selection, volunteer filtering, and search.
Choose All Volunteers to clear volunteer selections.
Shift Blocks
Each shift block shows the volunteer name and time description. Volunteers are color-coded so the calendar is easier to scan.
Recurring weekly blocks show a clock indicator. Completed one-time shifts show a completed badge.
Click a block to open the volunteer profile when you have edit access.
Mark One-Time Shifts Complete
Scheduled one-time shifts show a checkmark action on hover. Click it to mark the shift Completed.
Recurring schedule blocks cannot be marked complete because they represent ongoing weekly availability.
Empty Calendar
If no volunteers have schedule data, the calendar shows an empty state. Add recurring availability or one-time shifts from volunteer profiles to populate the calendar.
Best Practices
- Use 5-day or week view for coverage planning.
- Use day view for daily operations.
- Use month view for longer-term visibility.
- Search by name or email when working with large volunteer teams.
