Donors

Donor records help your organization manage supporter relationships alongside the donations they make, the pets they are connected to, and the follow-up history your team keeps internally.

You can open donor records from More > Donors, from the Donor Activity panel in the Fundraising Hub, or from linked donor names in donation and wishlist contribution records.

Donors List

The Donors page uses the standard workspace table. Each row shows the donor, contact details, status, tags, custom fields when enabled, and a donation summary column with received giving and total records on file.

Use the table controls to:

• Search donor names and contact details
• Filter by donor status
• Filter by tags
• Sort and page through the list
• Open a donor profile by selecting a row

Use Add Donor when you need to create a supporter record before a gift has been recorded.

What Donor Records Store

Each donor profile can include:

• Name, email, phone, and mailing address
• Donor type and custom form fields
• Internal notes
• Status and status history
• Tags for segmentation
• Linked donation history
• Related pets when a donor is connected to a pet sponsorship or relationship

How Donors Are Created

PawPlacer can create donor profiles from fundraising workflows:

• When staff record a donation with a new donor name or email
• When a public supporter gives enough identifying information during a donation or wishlist flow
• When a donation email matches an existing donor, PawPlacer links the gift to that donor instead of creating a duplicate

Anonymous donations can still be tracked internally. The donation keeps its anonymous flag so the donor is not shown publicly, while staff can preserve the internal giving record when appropriate.

Donor Profile

Donor profiles use the compact profile layout. The header shows the donor name, status, tags, contact shortcuts, donor tenure, total donated, donation count, and document count.

The profile includes:

• Contact, address, status notes, team notes, documents, and activity timeline panels
• A Record Donation action in the profile header
• Donation summary cards for received giving, pending giving, and received donation count
• A donation history panel with status, source, allocation, donor message, and payment reference details
• Related pets when the donor is linked to a pet relationship or sponsorship
• Custom details and email history when those records exist

Click a donation in the donor profile to open it in the donation form for review or editing.

Giving History

Open a donor profile and review the donation cards and donation history panel to see the donor's received amount, pending amount, received count, recent gifts, sources, statuses, payment references, and wishlist or pet allocations.

This makes donor follow-up easier because the contact record and giving context live together.

Working With Donations

When recording a donation, you can select an existing donor or enter a new donor name and email. PawPlacer links the donation to that donor, and the gift appears on both the Donations page and the donor profile.

From a donor profile, Record Donation opens the same donation dialog already scoped to that donor. The dialog is organized into donation details, donor, link target, and notes sections.

If the donation is allocated to a wishlist item, the donation can also update the wishlist item's fulfillment progress when it is marked received.

Permissions

Donor management requires privileged access. Users without permission will see a permission notice instead of donor data.
