The Donations page gives your organization a single place to review contributions from public donation buttons, public wishlist funding, adoption checkout donations, pet sponsorships, and manually recorded gifts.
You can access it from More > Donations. The Fundraising Hub also links into Donations for pending reconciliation and recent gift follow-up.
How This Fits Together
PawPlacer treats public fundraising as a connected workflow:
- Public Profile is where supporters discover your organization and choose how to help.
- Wishlist turns needs into specific public items supporters can fund or pledge.
- Donations is the ledger for money gifts, wishlist funding, item pledges, pet sponsorships, adoption donations, and manual/offline gifts.
- Donors keeps the supporter relationship and giving history when a name or email is provided.
For example, when someone funds a public wishlist item, PawPlacer creates a donation record, links it to that wishlist item, links or creates the donor profile, and reserves the selected quantity while the payment is pending. When the gift is received, the item progress updates. When someone pledges a physical item, PawPlacer creates a pending in-kind donation so your team can confirm arrival before the wishlist received quantity changes.
What You Can Track
Each donation record stores:
- Amount and status: pending, checkout created, received, failed, cancelled, or refunded
- Source: manual, general, wishlist, pet sponsorship, or adoption
- Donor identity: linked donor profile, typed donor name and email, and whether the donor should be treated as anonymous publicly
- Payment details: Stripe checkout session, Stripe payment intent, external reference, or the saved payment method used
- Allocation: an optional link to a wishlist item, pet, or adoption
- Campaign: an optional fundraising campaign attribution
- Notes: a public donor message and an internal private note
- Tax receipt: the active numbered receipt, deductible amount, issue date, and void history
Summary Cards
At the top of the table, PawPlacer shows quick totals for:
- Received donation amount
- Pending donation amount
- Total donation amount
- Number of donations in the current filtered view
These cards follow the same filters as the table, so filtering to wishlist donations shows wishlist-specific totals.
Filtering and Sorting
Use the table controls to:
- Search by donor name, donor email, public note, or private note
- Filter by status
- Filter by source
- Sort by amount, received date, created date, status, or source
This makes it easy to answer questions like "Which public wishlist donations are still pending?" or "How much did we receive this month from general public support?"
Connected Records
Donation records connect back to the rest of PawPlacer:
- Wishlist donations appear on the wishlist item profile and can update the item's received quantity.
- Donor-linked donations appear in the donor profile donation history.
- Pet sponsorship donations link back to the pet record.
- Stripe donations are fulfilled automatically by Stripe webhooks when checkout succeeds. Monthly and yearly Stripe gifts continue to add ledger activity when Stripe reports successful subscription invoices.
- External public payments start as pending donations with a PawPlacer reference so staff can match PayPal, Venmo, Cash App, Zelle, Bitcoin, Dogecoin, or Ethereum payments before marking them received.
- Public wishlist pledges start as pending in-kind donations and can be reconciled from either Donations or the linked wishlist item profile.
Click a donation row to open its detail drawer. The drawer shows the donor, amount, status, source, payment details, campaign or allocation target, notes, activity timeline, recurring information when applicable, tax receipt, and thank-you follow-up. Choose View Record for the full donation record or Edit to change the gift.
The full record keeps the gift's timeline, payment details, allocation, notes, and stewardship actions together. Pending donations can be reconciled or cancelled. Received money gifts can be marked refunded, and received in-kind gifts can be marked not received when a delivery needs to be reversed.
For a received gift, use Issue Receipt to create its numbered PDF receipt. The issue dialog can record the value and description of goods or services and can email the PDF to a donor with an email address. An issued receipt can be downloaded, emailed again, or voided with a reason.
Permissions
Donation management requires fundraising access. Users without that permission see a permission notice instead of donation data or editing actions.
