Surrenders

Surrenders give your team one place to collect owner surrender requests, review each animal, and decide whether to connect or create pet profiles.

Open More > Care > Surrenders. Managing surrenders requires Pet Manager access, Admin access, or account owner access.

How Surrenders Work

PawPlacer keeps the intake case separate from your pet records:

  • The surrender record holds the contact, form answers, intake details, documents, notes, tags, and review activity.
  • Surrendered pet items hold the information submitted for each animal.
  • A pet item can be linked to an existing pet or converted into a new pet profile after review.

Public submissions create a surrender record and draft pet items. They do not create pet profiles automatically.

Surrenders List

The list includes summary cards for All surrenders, Pending, Archived, and the current Results. Use:

  • Search to find a surrender by contact name, email, phone, or pet name.
  • The status views to focus on a record status.
  • Stage, Priority, Due, and Tags filters to narrow the intake queue.
  • Sort options for name, recently updated, soonest due, priority, stage, or newest first.
  • Add Surrender to create an internal record.

Each row includes the contact, intake stage, priority, record status, number of pet items, due information, and last update.

Surrender Profile

Open a row to review its profile. The header shows the contact, source, surrender date, current intake stage, and any urgent priority or decision. Summary metrics show:

  • Surrender Since
  • Surrendered Pets
  • Open Actions
  • Documents

The toolbar has Profile and Documents views, Search this record, and Print.

Profile View

The left side includes:

  • Contact details.
  • Intake details such as stage, priority, decision, requested or scheduled intake, review due date, assignee, and completion date when provided.
  • Status for the surrender contact, including the status note.
  • Tags and a shortcut to Documents.

The center can include:

  • Surrendered Pets
  • Action Items
  • Custom Details
  • Email History

The right side shows Activity and Team Notes.

Use Edit to update the case and its pet items. The action menu can send an available email, archive or unarchive the record, or delete it, depending on its current state and your access.

Understanding Surrender States

Several states describe different parts of a surrender:

  • Record status manages the contact record, such as Pending, Active, Inactive, Denied, Blocked, Suspended, or Training.
  • Intake stage tracks the case: New, Reviewing, Scheduled, Approved, Declined, Completed, or Closed.
  • Priority identifies urgency: Low, Normal, High, or Urgent.
  • Decision records the intake outcome: Accepted, Declined, Waitlisted, or Withdrawn.
  • Pet item status tracks each animal: Draft, Reviewing, Accepted, Declined, Linked, or Converted.

The intake-stage badge in the profile header summarizes the case workflow. For a non-pending record, use the Status row on the left to change the contact record status.
