Surrenders
Surrenders help your team collect, review, and resolve owner surrender requests before animals become pet profiles in your account.
A surrender record stores the contact, form answers, status, tags, documents, team notes, action history, and one or more surrendered pet items.
How Surrenders Work
PawPlacer keeps the surrender case separate from pet profiles:
- Surrender record: Contact details, custom form answers, status, tags, documents, notes, and review context.
- Surrendered pet items: Animal-level intake records attached to the case.
- Linked pets: Existing pet profiles connected to a pet item.
- Converted pets: New pet profiles created from a pet item.
Public submissions create a surrender case and draft pet items. They do not automatically create pet profiles.
Surrenders List
Open Surrenders from the main navigation. The list uses the standard PawPlacer table layout with search, sorting, pagination, status filtering, due-date filtering, tag filtering, and an Add Surrender action.
Each row can show:
- Surrender: Contact name, avatar, compact tag badges, email, and phone.
- Stage: Intake stage such as New, Reviewing, Scheduled, Approved, Declined, Completed, or Closed.
- Priority: Low, Normal, High, or Urgent.
- Status: The person-style record status, such as Pending, Active, Inactive, Denied, Blocked, Suspended, or Training.
- Pets: Number of pet items attached to the case.
- Due: Review due date or next action due date, with next action label when present.
- Updated: Last modified date.
Use the due-date filter to focus on overdue, today, next seven days, no due date, or all due dates.
Surrender Profile
Click a surrender row to open the compact profile.
The hero shows contact shortcuts, status, tags, and metrics:
- Surrender Since
- Surrendered Pets
- Open Actions
- Documents
The profile uses a left information rail and a main work area.
The left rail includes:
- Contact: Email, phone, and status.
- Home: Address when present.
- Note: Internal profile note when present.
- Activity Timeline: Recent status changes, surrender actions, documents, and profile creation.
- Documents: A compact document manager.
- Team Notes: Internal notes for staff with the required permission.
The main area includes:
- Surrendered Pets: Pet-item cards with accept, decline, link, convert, edit, and remove actions.
- Custom Details: Custom surrender form answers.
- Email History: Emails sent to the surrender contact.
The Edit button opens the surrender form, including the surrendered-pets panel used to add, link, or create pet items.
Status, Stage, and Pet Item Status
Surrenders have several kinds of state:
- Record status controls whether the surrender contact is active, pending, inactive, denied, blocked, suspended, or training.
- Intake stage tracks the case workflow, such as new, reviewing, scheduled, approved, declined, completed, or closed.
- Priority identifies urgency: low, normal, high, or urgent.
- Pet item status tracks each animal separately: draft, reviewing, accepted, declined, linked, or converted.
Permissions
Managing surrenders requires the Pet Manager role, Admin access, or account owner access. Users without permission see a permission notice instead of surrender data.
