Open More > Form Filler when an outside agency, landlord, veterinarian, or partner requires its original PDF or scanned form to be completed. Administrators and Privileged users can use this area.
Form Filler is separate from Settings > Forms. Settings Forms builds PawPlacer's online applications from sections and questions. Form Filler keeps the uploaded document's page design and places fillable controls over it.
Upload a Form
Drop one supported file into the upload area or choose Browse:
- PDF, up to 20 pages
- PNG
- JPEG
- WebP
- Maximum upload size: 15 MB
PawPlacer renders each page and detects existing PDF fields or uses AI-assisted field detection. Review every detected field before sharing the form. Detection may miss a control or place it imperfectly, especially on low-resolution scans or complex layouts.
Edit the Fillable Fields
Choose Edit Fields, then select a detected field or click the page to place one. Supported field controls are:
- Text
- Date
- Checkbox
- Signature
For each field, set its label, type, required state, position, size, and font size. You can also map supported fields to PawPlacer pet or person data so they can be filled from an existing record later.
Drag and resize overlays until they align with the original document. Use zoom for precision and page preview to inspect multi-page forms.
Save a Reusable Template
Enter a template name and choose Save Template. A template stores the uploaded pages and field layout, not one recipient's completed answers.
Open a saved template with:
- Edit to change its field layout.
- Fill to create a completed record from it.
- Delete to remove the reusable template.
Saving a template is required before draft, document, and email actions become available.
Fill and Autofill
Choose Fill Form and type into the overlaid controls. Tab moves through fields in page order. Required fields are checked before the form is finalized.
When fields were mapped to PawPlacer data, use the autofill controls to select an existing pet, adopter, foster, or volunteer and apply available values. Always review the filled result; autofill does not replace staff verification.
Save, Print, or Send
From Fill mode you can:
- Save Draft to keep an incomplete filled record.
- Print to print or save through the browser's print dialog.
- Save to Documents to create a general document or link the generated copy to a pet, adopter, foster, or volunteer.
- Email Form to send a secure public fill link.
An emailed link creates a tracked filled-form record. The recipient can complete required fields and submit without a PawPlacer account. Staff can reopen the record, see its status, and revoke an active share link.
Common Questions
- Can I import this into an adoption application? No. Rebuild the questions under Settings > Forms when the answers should become structured adopter, foster, volunteer, surrender, donor, or pet data.
- Can I upload a Word or Excel file? Not to Form Filler. Convert it to PDF or a supported image first.
- Will detection be perfect? No. Treat detected fields as a starting point and review placement, type, mapping, and required settings.
- Where is the completed copy? Open the saved record in Form Filler. If it was saved to Documents, it also appears in the selected general or linked record's document area.
- Can a recipient reuse the link indefinitely? Treat each emailed link as recipient-specific. Revoke it from the filled record when it should no longer be available.
