Understanding TemplatesUsing TemplatesTemplate Best Practices

Working with Templates

Templates are pre-designed flyer layouts that help you create consistent, professional materials quickly. System templates are available to every organization, and organization-specific templates appear here when they have already been added to your account.

Understanding Templates

System Templates

PawPlacer includes professionally designed templates for common organization needs:

  • Pet Adoption Templates: Showcase individual pets or groups
  • Event Templates: Promote adoption events and fundraisers
  • Campaign Templates: Drive donations and volunteer recruitment
  • Information Templates: Share organization updates and educational content

System templates offer:

  • Professional design
  • Optimization for printing
  • Regular updates with new designs
  • Access for all users

Organization Templates

If your account has custom templates, they appear with the system templates:

  • Maintain consistent branding
  • Share templates within your organization
  • Start a new flyer from a reusable layout without affecting the original

Using Templates

Browsing Templates

  1. Click Create Flyer from the flyers list
  2. View the templates page, which shows:
    • Blank template option
    • System templates
    • Organization templates when available
  3. Each template displays:
    • Visual preview
    • Template name
    • Brief description
    • Options menu for organization templates

Starting from a Template

  1. Click on any template card
  2. A new flyer is created with the template's design
  3. The flyer is named "[Template Name] - Copy"
  4. All elements are editable
  5. Changes don't affect the original template

Template Categories

Templates are organized by use case:

Adoption Templates

  • Single pet feature
  • Multiple pet showcase
  • Bonded pair promotion
  • Special needs pets
  • Senior pet spotlights

Event Templates

  • Adoption day announcements
  • Fundraising events
  • Volunteer orientations
  • Educational workshops
  • Holiday campaigns

Operational Templates

  • Foster recruitment
  • Volunteer appreciation
  • Donation appeals
  • Service announcements
  • Success stories

Template Best Practices

Design for Flexibility

  • Use placeholder text that's easy to update
  • Choose versatile color schemes
  • Leave space for different content lengths
  • Include common elements (logo, contact info)

Naming Conventions

  • Use descriptive names
  • Include the template purpose
  • Add version numbers if needed
  • Example: "Adoption Event: Summer 2024"

Element Planning

  • Position reusable elements consistently
  • Use standard fonts available to all users
  • Design with printing in mind
  • Test with different content types

Managing Organization Templates

Template Actions

For organization templates, you can:

Rename

  1. Click the menu icon on the template
  2. Select "Rename"
  3. Enter a new name
  4. Click "Rename" to save

Duplicate

  1. Click the menu icon
  2. Select "Duplicate"
  3. PawPlacer creates a new flyer from that template
  4. The original template remains unchanged

Delete

  1. Click the menu icon
  2. Select "Delete"
  3. Confirm deletion
  4. Note: This only removes the template; flyers created from it remain

Organizing Templates

Keep templates manageable:

  • Delete outdated seasonal templates
  • Update templates with current branding
  • Name templates clearly for easy finding

Template Design Strategies

Designing Versatile Templates

Modular Design

  • Create sections that work independently
  • Use consistent spacing between sections
  • Design elements that scale well
  • Plan for optional content areas

Brand Consistency

  • Include your organization's logo
  • Use official colors
  • Maintain font standards
  • Include required legal text

Placeholder Content

  • Use realistic example text
  • Include sample images
  • Show typical content length
  • Demonstrate all features

Seasonal Templates

Use templates for recurring needs:

Holiday Campaigns

  • Adoptable pets as "gifts"
  • Special adoption rates
  • Holiday safety tips
  • Donation drives

Summer Events

  • Outdoor adoption events
  • Pet safety reminders
  • Volunteer opportunities
  • Foster appeals

Back-to-School

  • Family-friendly pets
  • Educational programs
  • After-school volunteering
  • Pet care tips

Advanced Template Tips

Color Schemes

Design templates with changeable colors:

  • Use consistent color roles (primary, secondary, accent)
  • Choose high-contrast combinations
  • Test printing in black and white
  • Consider accessibility for colorblind viewers

Image Placeholders

Set up image areas effectively:

  • Use shapes to indicate image placement
  • Include dimension guidelines
  • Show crop suggestions
  • Add "Upload Image" text

Content Blocks

Design flexible content areas:

  • Text blocks that expand/contract
  • Bullet point sections
  • Contact information modules
  • Call-to-action areas

Template Examples

Structure:

  • Header with organization logo
  • Large pet photo area
  • Pet name and basic info
  • Personality description
  • Adoption process steps
  • Contact information
  • QR code for application

Event Announcement

Structure:

  • Eye-catching headline
  • Event date/time/location
  • What to expect section
  • Special features or guests

Troubleshooting Templates

Template Not Appearing

  • Refresh the templates page
  • Check that the template belongs to your organization

Changes Affecting Original

  • Templates create copies, not links
  • Editing a flyer doesn't change its template
  • Each use of a template is independent

Missing Elements

  • Verify all elements were included in original
  • Check element visibility settings
  • Ensure images were properly uploaded

Best Practices Summary

  1. Start Simple: Create basic templates first
  2. Test Thoroughly: Try templates with various content
  3. Document Usage: Add notes about template purpose
  4. Update Regularly: Keep templates current with branding
  5. Share Knowledge: Train team on template use
  6. Gather Feedback: Improve templates based on user input
