Animal Shelter Software: A Complete Guide for Shelter Operations

What animal shelter software is, what it covers, how it differs from vet and donor software, who uses it, and how much it typically costs.

Cover for Animal Shelter Software: A Complete Guide for Shelter Operations

Animal shelter software is a system for managing the records and daily work of an animal welfare organization. It keeps track of the animals in your care, along with their medical needs, and the people connected to them, including adopters, fosters, volunteers, and donors.

If you're new to this type of software, or you've been getting by with spreadsheets, this guide explains what it does, who uses it, and how it differs from similar tools.

Who uses animal shelter software?

Despite the name, it isn't only for organizations with a building. Common users include:

  • Private and nonprofit shelters
  • Foster-based rescues with no facility
  • Breed-specific and species-specific rescues
  • Sanctuaries

Within an organization, different people use it in different ways. Kennel staff check daily care, adoption counselors review applications, foster coordinators look for open homes, and directors pull reports. Some products suit large facilities better, while others were designed for small volunteer teams.

What does animal shelter software do?

Most platforms cover the following areas, although the depth varies quite a bit.

AreaWhat it handles
Animal recordsIdentity, photos, status, intake details, and outcome history
MedicalExams, vaccines, procedures, prescriptions, and due dates
IntakeSurrender requests, stray holds, and transfers
FostersApplications, capacity, placements, and agreements
AdoptionsApplications, meetings, contracts, fees, and returns
VolunteersApplications, schedules, and hours
GivingDonors, donations, campaigns, and wish lists
Public listingsWebsite pages, widgets, and sites like Petfinder
ReportsPopulation, outcomes, length of stay, and finances

The main benefit is having these areas connected. When an adoption is finalized, the animal's status changes, the foster placement ends, and the fee is recorded, all in one step. In a set of separate spreadsheets, each of those would be a separate job for someone to remember.

How is it different from other software?

A few other types of products overlap with shelter software, which can be confusing when you're starting to look.

Veterinary practice software is built for clinics. It handles appointments, invoicing, and client billing, usually in far more clinical depth. If you run a full clinic, you may need one of these as well. Shelter software tracks medical care as part of each animal's overall record, and most teams don't need to bill anyone for it.

Donor management software is built for fundraisers. It's usually stronger on campaigns, mailing lists, and appeals. Many shelter platforms include basic donor tracking, which is enough for many small organizations. Larger development teams often want a dedicated tool.

Adoption listing sites such as Petfinder and Adopt-a-Pet help adopters find pets. They aren't a place to manage your records. Shelter software usually sends your available animals to those sites, so you don't have to update each one by hand.

General tools such as spreadsheets, Airtable, or Trello can work well for a small team. They're flexible, but you have to build everything yourself, and they won't know that a vaccine is due or that an adoption should update a status. Our post on outgrowing spreadsheets covers the common signs that it's time to move on.

How much does it cost?

Pricing varies widely, and vendors structure it in several ways:

  • A monthly subscription, sometimes based on the number of animals or users
  • A fee for each adoption, sometimes with no subscription
  • A percentage of payments and donations
  • A bundle that includes a website or other services
  • Free plans, which may have limits or may be paid for in other ways

To compare fairly, estimate your total cost over a year using your own animal and adoption numbers. Include any setup, migration, and add-on charges. We cover this in more detail in our guides to choosing software and free rescue software.

What's involved in getting started?

Setup is usually smaller than people fear, as long as you take it in order. Most organizations:

  1. Choose their statuses, forms, and contract wording
  2. Invite their team and assign permissions
  3. Import current animals and people from their existing records
  4. Connect any payment processors and listing sites
  5. Train staff on their daily tasks, then choose a go-live date

Small rescues can often finish this within days, while larger shelters with years of history may need several weeks. Ask each vendor what help they provide, and who does the data migration.

What to do first

If you're just starting to look, here's a simple way to begin:

  1. List the three problems that cost your team the most time.
  2. Note the features you can't work without.
  3. Pick two or three products designed for organizations like yours.
  4. Test each one with a real animal's records, using our buyer's checklist.

Frequently asked questions

Is animal shelter software the same as rescue software?

Mostly, yes. The terms overlap, and many products serve both. The main difference is that rescues rely more on foster homes and remote work, while shelters put more emphasis on kennels and daily care in a facility.

Do we need it if we only have a few animals?

Not always. A small team with one person keeping records can do well with a spreadsheet. Consider moving when several people need to update records at once, or when you start missing medical dates or losing paperwork.

Is our data safe in shelter software?

Ask each vendor how it separates your organization's data from others', how permissions work, and whether it sells or shares data. PawPlacer's approach is covered in Security and Data Ownership.
